How do I create a gift list?

Turn on the gift list in the event wizard (the “Gifts” step) or later when editing your event, then add items. The list will appear on your event page, and guests will be able to reserve gifts.

How do I add a gift to the list?

In your gift list, click “Add gift” and enter a name. You can also add a description, an approximate price, a photo and a link to the shop.

Can guests see the gift list?

Yes, if you turn it on. Guests see the list in their invitation and on the event page.

Can a guest reserve a gift?

Yes. Guests reserve a gift in their invitation (opened from their personal link) by clicking “Reserve this idea”. Other guests then see it as reserved, so nobody buys the same thing. The reservation can be cancelled in the same place.

Can other guests see that a gift has been reserved?

Yes, but only that it’s reserved. Other guests can’t see who picked it.

Can I, as the organizer, see who reserved a gift?

Yes. You get a notification telling you which guest reserved which gift. Other guests don’t see this information.

Can a gift reservation be cancelled?

Yes. Guests can cancel their reservation in their invitation (opened from their personal link), and the gift becomes available to others again.

How does the gift list help avoid duplicate gifts?

A reserved gift is instantly marked for all guests, so two people won’t pick the same thing. You can see what’s been reserved and what’s still available.

Do I have to have a gift list?

No. The gift list is optional – you can skip it in the wizard or turn it off at any time.

How do I create an event schedule?

In the event wizard, go to the “Schedule” step, or open it later in your event dashboard, and add items with times. The extended schedule on the event page depends on your plan.

How do I add an item to the schedule?

In the schedule, click “Add item” and enter a time and a name (e.g. “Ceremony”, “Dinner”, “Cake”). You can also add a location and a short description.

Can I change the order of schedule items?

Yes. Items are sorted by time – change the time or move an item, and the order updates automatically.

Can the schedule include times?

Yes. Each item can have a start time, and for multi-day events the schedule is split into days.

Can guests see the schedule?

Yes. The schedule is shown on the event page, and during the event the page highlights what’s happening now and what’s coming up next.

Can I edit the schedule after publishing my event?

Yes. Changes show up on the event page right away. For bigger changes, it’s a good idea to also send guests an announcement.

How does the task list work in Fetka?

The Task board (FTasks) is a list of things to get done with due dates, organized into “To do”, “In progress” and “Done” columns. Tasks can belong to an event or to a separate project, and you can keep a budget alongside them. The Free plan is available to every account.

How do I add a task?

On the Task board, click “Add task”, enter a name and, if you like, a due date, an event or project, a cost and a reminder. You can also import a ready-made task list from the checklist.

Can a task be assigned to a specific event?

Yes. Choose an event or an FTasks project for the task. You can filter the board to see tasks for just one event.

Can I set a due date for a task?

Yes, and you can turn on an email reminder a few days before it’s due (1, 3, 7 or 14 days).

How do I mark a task as urgent?

When editing the task, tick “Urgent”. Urgent tasks are highlighted on the board.

What statuses can a task have?

Three: “To do”, “In progress” and “Done”.

Can I move tasks between statuses?

Yes. Drag the task to another column or change its status when editing it.

Does Fetka show overdue tasks?

Yes. Overdue tasks are highlighted on the board, and Fetka reminds you about them in notifications and in the daily task email.

Can guests see my tasks?

No. Only the organizer can see tasks and the budget.

Can I see how my preparations are going?

Yes. The board shows how many tasks are done, and the budget shows how much of the planned amount you’ve spent. Fetka warns you when spending reaches 90% of the budget and when it goes over.

How does venue and seating planning work?

In the Seating and venues tab, you draw your venue with tables and then assign guests to seats. The plan shows who has confirmed, who has declined and which seats are free.

Whether the seating plan is available depends on your Fetka plan (it’s included in higher plans or available as an add-on).

How do I add a venue room?

In the “Seating and venues” tab, click “Add room” and give it a name and dimensions. You can have several rooms, e.g. a main hall and a garden.

How do I add a table?

In the room editor, pick a table shape and place it on the plan. You can move it, rotate it and label it (e.g. “Head table”).

How do I add seats to a table?

Set the number of seats in the table settings, and the chairs are arranged around it automatically.

Can I create round and rectangular tables?

Yes. You can choose from round, rectangular, square, oval, banquet and U-shaped tables, among others.

How do I assign a guest to a seat?

Click a free seat and choose a guest from the list, or drag a guest onto a chair. Each guest can take one seat.

Can guests be assigned to seats automatically?

Yes. “Assign automatically” seats confirmed guests who don’t have a seat yet on the next free chairs in the room. It doesn’t group couples or families, so it’s worth fine-tuning the plan by hand afterwards.

What do the seat colors mean?

A seat’s color shows the guest’s response: confirmed, not confirmed or declined. An empty chair is a free seat, and a pacifier icon means a small child sitting on someone’s lap. The legend is in the side panel.

What happens to a seat when a guest declines?

The guest stays in their seat, but the seat changes to the “declined” color. Free it up manually and assign it to someone else.

Can I move a guest to a different seat?

Yes. Drag the guest to another seat or swap two guests’ seats.

Can guests see the seating plan?

No. Only the organizer can see the seating plan. You can print it or show it at the venue.

Can I change the room layout after RSVPs change?

Yes. You can edit the plan at any time – add and remove tables, move guests and free up seats.

How do I get notifications as an organizer?

In your dashboard, under the bell icon (events) and the envelope icon (things to take care of). Some updates, such as task reminders, are also sent by email.

What’s under the bell icon?

The bell shows activity from your events, e.g. a new or updated guest response, an opened invitation, a gift reservation, an upcoming task deadline, an exceeded budget or an upcoming event.

What’s in the message center?

Under the envelope icon, Fetka collects things that need your attention, each with an action button – e.g. missing event details, an empty gift list, few guest responses, an unpublished event close to its date or a subscription that’s about to expire.

What’s the difference between a notification and a message?

A notification (bell) tells you something has happened, e.g. a guest has responded. A message (envelope) tells you something needs to be done and takes you straight to the right place in your dashboard.

Will I be notified when an RSVP changes?

Yes. Every new and updated guest response appears under the bell in your dashboard.

Does Fetka remind me about important tasks?

Yes. For a task with a due date you can set an email reminder, and tasks due today or overdue show up in your notifications and the daily email.

Can I send an announcement about my event?

Yes. In the Announcements tab, you can write a message to your guests: it will appear on the event page and, if you choose, it will also be sent by email. You can mark it as important and send it to everyone or only to selected guests.

Can I let guests know about a change of time or venue?

Yes. First update the details under “Edit event”, then send an announcement marked as important – guests will see it on the event page and get it by email (if they have an address).

Can I add photos after the event?

Yes. After the event, you can add a thank-you note, a link to a photo gallery and selected photos to the event page. You can also add a gallery as a landing page module.

Can I send my guests a thank-you note?

Yes. Add a thank-you note to the event page or send it to guests by email as an announcement.

Can I create a post-event survey?

Fetka doesn’t have surveys yet. You can send guests an announcement with a link to a survey made in another tool.

How long can I access my event after it ends?

A finished event stays in your account so you can view it, but it can no longer be edited. We keep event and guest data for no longer than 12 months after the event date (see the privacy policy for details) – if you want to keep your guest list, download it as a CSV file.

Can Fetka help me write a description or an invitation?

Yes. The “Help me write” button drafts an event description, an invitation message or an announcement in the tone you choose – availability depends on your plan. For free and without an account, you can use the invitation text generator.

What is the Event calendar?

The Event calendar is a public calendar of concerts, festivals, sports and cultural events in Poland. You can save events, set reminders and get alerts about new events. Your private events don’t appear in it.
