Guests and invitations

Your guest list, importing guests, and sending invitations by email, text message and messaging apps.

How do I create an online invitation?

Your invitation is created together with your event – every guest gets a personal link to a page where they can reply. You can design the invitation card (with a QR code) in the Invitation card tab, starting from a template.

How do I send invitations to my guests?

In the Guests tab, click “Invite” next to a guest or “Invite all”, then choose how to send it:

  • Email – Fetka sends the message for you.
  • SMS – the messaging app on your phone opens with the text and link ready to go; the message is sent from your own number.
  • WhatsApp or another messaging app – share a ready-made message with the link.
  • Copy link – paste it anywhere you like.

Fetka keeps track of who was sent an invitation and when, and shows you who has opened it.

Can I send an invitation by text message?

Yes. For a guest with a phone number, choose SMS – the messaging app on your phone opens with the text and the guest’s personal link ready to go. The text is sent from your own number, so your guests know who the invitation is from, and Fetka doesn’t charge for it.

Can I share an invitation on WhatsApp?

Yes. Choose WhatsApp next to a guest – a chat opens with a ready-made message and their personal link. You can share the invitation the same way on Messenger and other messaging apps (using the “Share” or “Copy link” button).

Can I send an invitation by email?

Yes. For a guest with an email address, choose to send by email – Fetka will send the message with their personal link. If a guest can’t find it, ask them to check their spam folder, or send them the link by text message instead.

Can I print my invitation?

Yes. You can download the invitation card from the Invitation card tab as an image or print it. The printed card includes a QR code that takes people to your event page.

Can I create an invitation with a QR code?

Yes. Every invitation card has a QR code linking to your event page – it’s generated automatically. Note: the QR code on the shared card leads to the event page, not to a specific guest’s personal reply page.

Can I change the wording of my invitation?

Yes. You can change the card’s text, colors and photo in the invitation editor, and edit the message that goes out with the link right before you send it. You can also draft the wording with our invitation text generator.

Can I make different invitations for different guests?

Every guest gets a personal link, and you can edit the invitation message before sending it to a particular person. The invitation card is shared across the whole event, but you can save several versions of it and choose which one is current.

Can I see who has replied to my invitation?

Yes. In the Guests tab, you’ll see each person’s invitation status (not sent, sent, opened, replied) and their reply: “Yes”, “No”, “Maybe” or no response. You can filter the list by status.

How do I add a guest?

In the Guests tab, click “Add guest” and enter their first and last name. You’ll need a phone number or email address if you want to send the invitation by text or email. You can also assign a group (e.g. “Family”) and add the guest to the waiting list.

How do I remove a guest?

In the “Guests” tab, open the menu next to the guest and choose “Delete”. The guest will disappear from the list and their personal link will stop working.

How do I edit a guest’s details?

Click the guest in the list, update their details and save. Changing their phone number or email doesn’t change the guest’s personal link.

Can guests bring a plus-one?

Yes. When replying to the invitation, guests say how many people they’re bringing (a plus-one, children). Which questions a guest sees depends on the type of event and your form settings; advanced settings (e.g. a limit on children per guest) depend on your plan.

Can I mark children on the guest list?

Yes. Guests can enter the number of children in their reply, and for a child’s birthday party you can add a child along with a parent’s or guardian’s details. In the seating plan, little ones (who sit on a lap) are counted separately.

Can I add a comment or note to a guest?

You can assign a guest to a group (e.g. “Groom’s family”), and guests can add their own comments when replying to the invitation. There’s no separate field for the organizer’s private notes yet.

Can I import my guest list from a CSV or Excel file?

Yes, on higher plans. You can import CSV, XLS and XLSX files with the columns: full name, email, phone (and optionally guardian/parent) – up to 200 people per file.

If import isn’t available on your plan, Fetka will show you which plan includes it.

Can I download my guest list as a file?

Yes. In the “Guests” tab, you can download the list as a CSV file (it opens in Excel and Google Sheets) – including replies, head counts and guests’ comments.

What information can I see on the guest list?

For each guest you’ll see: contact details, group, invitation status (sent, opened), their reply, number of people, form answers (e.g. accommodation, transport, comments) and sending history. At the top there’s a summary of how many people have confirmed, declined and not replied.

Can guests see everyone else who’s invited?

No. Each guest sees only their own invitation and their own reply. The guest list is visible to the organizer only.

Can I check how many guests have confirmed?

Yes. The summary at the top of the “Guests” tab and on your dashboard shows the number of confirmations, declines and guests who haven’t replied – including plus-ones and children.

How many guests can I invite?

On the Free event planning plan (FEvent) you can invite up to 30 guests per event. Higher plans allow hundreds or even thousands of guests. You’ll find the current limits on our pricing page.

Can I keep a waiting list of guests?

Yes. When adding a guest, mark them as being on the waiting list – you can invite them once a spot opens up. For sign-ups to an open event, you can also turn on an automatic waiting list.

Can I collect sign-ups instead of using a guest list?

Yes. For open events (workshops, fairs, meetups), turn on sign-ups: participants register themselves through a form, you can set a limit on places and a waiting list, and you approve or reject registrations in your dashboard.
